Trial a tool like Notion (or Asana, Trello, Monday) so it is out of your head and you can start delegating repeated processes to others. You cannot share the load unless there is somewhere to share it.
Try Notion Online PM free. Start with a to do list and build this set up over time to use the online tool for new processes. For example, create a workspace for Acquisition and set out the steps and processes you use for site searching, criteria, due diligence. Practice using the tool daily.
Start documenting one repeated process each week: screen-record it, transcribe it, and that becomes your step-by-step process map someone else can run, even at 80% good enough.
THE FAST WAY: record a Loom (or your phone) while you do the task once, talking through it. Get the transcript, then prompt your AI: "Turn this into a clear step-by-step SOP a new team member could follow, with a checklist at the end." You now have a trainable process map without writing it from scratch. WHAT CAN A VA DO FOR ME (starter ideas): initial site searching and shortlisting against your criteria; first-pass feasibility data entry; chasing agents and booking inspections; building and maintaining your deal tracker and JV tracker; drafting letters and letterbox lists; council and comparable-sales research; formatting your investor memo; inbox and calendar triage. Rule of thumb: if someone can do it 80% as well as you, it is a candidate to hand off.
